Reports about time off and payroll

NAVIGATION  Refer to Path for each report. Note that LiveReports may be published to any report category or multiple report categories, or may not be published at all in your Autotask instance. To publish a LiveReport, refer to Publishing LiveReports.

Standard reports

Full Resource Report

Required Permission Security level with access to Reports > Time & Expenses category
or Reports > Admin category.
Also requires Resources/Users (HR) permission to view Internal Cost data, otherwise data field will display "****".
Path > Reports > Report categories > Time & Expenses > Time Off & Payroll section

or Admin tab > General

Description All active and inactive resources with all roles and billing rates as well as internal cost, grouped by department.

Paid Time Off Summary

Required Permission Security level with access to Reports > Time & Expenses category AND Timesheets > Feature Access > Can access Time Off & Payroll Reports
Path > Reports > Report categories > Time & Expenses > Time Off & Payroll section
Description A list of all resources, grouped by department, and the number of used and approved paid time off hours by category. Can be run as a summary or with detail.

Payroll Summary

Required Permission Security level with access to Reports > Time & Expenses category AND Timesheets > Feature Access > Can access Time Off & Payroll Reports

Description

Summary of hours worked and all paid time off categories for the timesheet period for all resources, grouped by employee status. Can optionally include floating holidays and inactive resources. Can be transferred to QuickBooks.

The Payroll Summary report may not agree 100% with a user's timesheet, because time on the Payroll Summary report is rounded to 4 decimals, and the timesheet to 2 decimals.

Personal Time and Vacation Time

Required Permission Security level with access to Reports > Time & Expenses category AND Timesheets > Feature Access > Can access Time Off & Payroll Reports
Path > Reports > Report categories > Time & Expenses > Time Off & Payroll section
Description Vacation, Personal, Sick and Flexible time by month for selected year for selected resources within a department, displayed in hours (up to 2 decimals) or days.

Personal Time & Vacation Requests by Resource

Required Permission Security level with access to Reports > Time & Expenses category AND Timesheets > Feature Access > Can access Time Off & Payroll Reports
Path > Reports > Report categories > Time & Expenses > Time Off & Payroll section
Description Itemized Vacation, Personal Time requests and holidays for selected resources, filtered by department and calendar year. Note that holiday hours are equal to the Number of hours in a normal work day  system setting. Refer to Holidays and resource hours.

LiveReports

Allowed Time Off (available by department, location, resource or time off category)

Required Permission Administrator or Manager security level. May be published to other security levels, departments, or resources.
Path > Reports > Resources tab > LiveReports
Description These reports display the total hours that each resource received, any additional time they were given, and the total hours they used (this includes time off requests that are awaiting approval). By default, the reports run for the current year (January 1st through December 31st).

Time Off Requested approved (available by department, location, resource or time off category)

Required Permission Administrator or Manager security level. May be published to other security levels, departments, or resources.

Description These reports display the total hours that each resource requested, that have been approved, and that still need to be approved. By default, the reports run for the current year (January 1st through December 31st).

Used & Remaining Time Off (available by department, location, resource or time off category)

Required Permission Administrator or Manager security level. May be published to other security levels, departments, or resources.
Path > Reports > Resources tab > LiveReports
Description These reports display the total hours that each resource used (entered on their timesheet or requested) and the remaining balance. By default, the reports run for the current year (January 1st through December 31st).
