Setting and viewing in/out status

NOTE  The In/Out feature must be enabled in the Site Setup System Settings. Refer to Enable In/Out functionality.

The In/Out Status Board shows you the current in/out status of all your staff and provides a complete in/out history for each resource.

The In/Out Status Board provides the following:

  • offers visibility across your company into whether resources are "in” or “out,” along with notes about when they will be back.
  • allows managers to view staff in/out status throughout the day.
  • helps remote team members become conscious of letting co-workers know when they are “in” or “out.”

Setting in/out status

Set your in/out status using the status toggle in the top navigation bar, near to your name:

When you set your status to "out," a note box opens for you to provide additional details about your status. For example, "I'm at lunch," "I'm at the doctor's office," "I'm running errands - be back in 30 minutes."

NOTE  You are automatically marked "in" when you log in and when you perform an action that results in a new entry on the recent items list.

IMPORTANT  If you are logged out due to inactivity or when you close your browser, your in/out status will not be updated. It must be set manually.

Logging out

When you log out, a prompt asks you if you want to set your status to "out" or remain "in." The preferred option can be saved so that when you log out, the desired status is set without a prompt. Simply click Remember my selection and don't ask again:

To turn the prompt back on, go to your My > Miscellaneous > Settings page and select the Prompt me to change In/Out status when logging out check box in the User section:

Viewing in/out status

You can see your own in/out history and that of others depending on your visibility settings:

  1. Click the main Autotask menu in the navigation bar:

  1. Select In/Out Status from the View menu:

The In/Out Status page opens with in/out status for all resources for whom you have visibility in Autotask:

To quickly view everyone who is in or out, sort the list by the first column:

You can also filter the list by the following:

  • Department
  • Primary Internal Location
  • Resource (API Only and Dashboard Only users do not appear on this list)

Who do I see?

If you are... Then you see in/out status for ...

An HR Admin (you have access to Admin > Resources)

All resources

A timesheet approver

All resources for whom you approve time

Any other user

Resources for whom you have visibility according to your security level. Refer to Limiting resource visibility.

NOTE  You only see the In/Out Since date and time if you are an HR administrator (for all resources) or a timesheet approver (for resources for whom you approve time).

Viewing In/Out History

Click In/Out History to view the in/out history for yourself and for resources where you are their timesheet approver, or if you are an HR Admin, for all resources. Refer to Viewing the in/out history for details.
